Who we are
Scan and Go (“we”, “us”) provides a UK coastal passage planning website. We are not a chart provider or navigation service.

What this policy covers
This policy explains what personal data we collect when you use the website, Account sign-in, the passage planner, harbour requests, and crew share links.
Data we collect
Account (optional)
- Email address — to send a one-time sign-in code and identify your account.
- Boat name and usual speed — stored so the planner can pre-fill your details.
- Crew link preference — how long share links stay valid (sailing day or day after).
We do not ask for a password. Sign-in uses a short code sent to your email.
Harbour requests
If you request a new harbour, you may give a harbour name, area, notes, and optionally your email. We use that only to review the request and reply if needed.
Planner use
When you plan a passage, the site uses your chosen harbours, speed, and filters. Most processing happens in your browser. The server may log routine technical data (IP address, time, browser type) for security and reliability.
Crew links
Links and QR codes can include departure harbour, destination harbour, speed, chosen sailing day, and an expiry date. Anyone with the link can open a crew view of that plan. Do not share links publicly if you do not want others to see the passage details.
How we use your data
- Provide the planner and Account features.
- Send sign-in codes and (if you gave an email on a harbour request) emails about that request only.
- Improve reliability and security of the service.
- Comply with law where required.
We do not sell your data or use your email for marketing newsletters.
Legal basis (UK GDPR)
- Account and harbour replies: contract or steps at your request.
- Sign-in codes: necessary to provide the service you asked for.
- Security logs: legitimate interests in running a safe service.
- Harbour request email (optional): your consent when you submit it.
Third parties
The planner may fetch weather and related data from third-party providers (for example Open-Meteo) and tide data via services we proxy (for example UK Hydrographic Office EasyTide). Those providers process requests according to their own policies. We send harbour names and planning parameters needed to return a result, not your Account email.
Hosting and email delivery are provided by our hosting supplier.
How long we keep data
- Account data — while your account is in use; contact us to ask for deletion.
- Sign-in codes — short expiry (minutes).
- Harbour requests — as long as needed to process the request.
- Server logs — typically a limited period for security.
Your rights
You may ask to access, correct, or delete your personal data, and to object or restrict some processing. Email planner@scanandgo.co.uk. You may complain to the ICO (ico.org.uk) if you are unhappy with how we handle your data.
Cookies and storage
Account sign-in uses a session cookie so you stay signed in until you sign out or close the browser. The planner may use local storage in your browser for convenience. We do not use advertising cookies.
Children
The service is intended for adults planning passages. We do not knowingly collect data from children.
Changes
We may update this policy. The “Last updated” date will change. Continued use of the site after changes means you accept the updated policy.
